Which supplier documents are suitable

Suppliers send very different things, and not everything with a stamp is evidence.

Formats

PDF, photo or scan, including multi-page documents. The document does not have to be text-based — a stamped scan can also be read, although more slowly and with more items requiring review.

Types of documents that contain data

• Certificates and test reports — with specific values and the determination method.
• Material technical data sheets — composition, grammage, properties.
• Manufacturer material declarations — statements on substance content.
• Packaging specifications — dimensions, layers, construction.

Documents that usually add nothing

General statements such as “our products meet the requirements of applicable legislation”, without indicating which legislation, which values and the method by which they were verified. The application will accept such a file, but will not extract any number from it — and will show it as such.

Practical rule

Evidence is a document that states a value and how it was determined. Everything else is a declaration of good faith — it may be true, but it does not close the item in the assessment.
